You know that moment. A new client is interested in your service. How nice. And then the usual ritual begins: you open your email, look for the "intro email and quote" template, copy and paste, change the name, attach the PDF, send. Then they reply: "Great, when can we talk?". And you reply: "Could you do Tuesday at 10:00 or Wednesday at 14:00?". And they reply: "Wednesday doesn't work for me, anything on Thursday?". And you open your calendar, check, get back to them...
And somewhere in that ping-pong of emails, WhatsApps and scheduling, your energy starts leaking out. You feel crazy busy, but if you look at it honestly, you haven't done any creative or strategic work. You've just been your own secretary.
The rule of three: when do you stop working by hand? I want to suggest a new rule for your business life. It's simple, but it changes everything: if you've done a certain action, or written a certain text, three times the same way, the fourth time it has to be automatic.
Why? Because your time is too valuable. Because every time you copy-paste by hand, you waste not just a minute of your life, but mental "bandwidth" too. You lose focus. You deal with the small stuff instead of the big stuff. And worst of all, when you do things by hand, you're human. And humans forget, get tired, and make mistakes. Robots don't.
Automation isn't a dirty word (and it isn't just for programmers) A lot of people shy away from the word "automation". It sounds technical, complicated, cold. But the truth is that automation is the warmest, most empathetic thing there is. Why? Because it lets you give your client fast, precise, consistent service, without you having to be available 24/7.
Automation is really just "digital plumbing". It connects a pipe between your email and your calendar, or between your lead form and your mailing system. Once the pipe is connected, the water (the information) flows on its own.
3 examples of automations that will give you back hours every week:
1. An end to scheduling ping-pong This is the first must. If you're still setting up meetings with messages back and forth, stop everything. Put up a link to a digital calendar (like Calendly or other systems). The client goes in, sees when you're available (by the rules you set), picks a time, and automatically gets a calendar invite and a Zoom link. You? You just get a notification that the meeting is booked. Magic.
2. Welcoming a new client (onboarding) A client closed a deal with you? Congratulations. Instead of having to remember to send a contract, then an invoice, then an intake questionnaire, let the bot do it. The moment you mark them in the system as an "active client", they get a festive "welcome" email with a link to sign the contract digitally. The moment they sign, they automatically get the intake questionnaire. Everything runs like clockwork, they feel they're in good, professional hands, and you can focus on making the coffee for the first meeting.
3. Handling leads (so nobody falls through the cracks) Someone left their details on your website at 11 p.m. You're already asleep. Instead of them waiting until morning (and reaching out to a competitor in the meantime), the automation sends them an email right away: "Hi, thanks for reaching out. I got your details and I'll get back to you tomorrow morning. In the meantime, here's a guide, at no cost, that can help you...". They got an instant response, and you got peace of mind.
The bottom line: stop being the robot of your own business. Let the real robots do the boring, repetitive, Sisyphean work. It won't make you any less personal. Quite the opposite. It clears the time and energy for you to be more personal, creative and present in the places that really need your unique human touch.
Feel like you're drowning in manual tasks and want your business to run smoother? We can map your work processes together and build a smart system for you that works in the background, gives you back precious hours and brings order to the chaos.
Let's turn the "copy-paste" into a bot.
